Position Summary:

A full-time position, the Donor Services Associate of the Institutional Advancement (IA) department will manage aspects of the fundraising database system, mainly gift processing and prospect research. The ideal candidate enjoys the dynamics of a fast-paced organization where we work in teams on multiple projects in complex environments. We are seeking a smart, talented, ambitious individual who is detail oriented and committed to collaboration, innovation, and action.

Essential Job Functions:

  • Manage all aspects of gift processing and donor/prospect research in a timely and accurate manner. Responsibilities include:
    • gift entry for all cash and non-cash gifts
    • gift acknowledgements
    • memorial/honor notifications
    • pledge reminders/invoicing
    • matching gifts
    • recognition reports
    • wealth screening
    • profiles on donors or prospects
    • mini-bios created for event attendees
  • Create new constituent records and update records.
  • Design, implement, and maintain coding systems including creating codes for events and direct mail appeals. Communicate changes in coding to staff on regular basis.
  • Manage outstanding pledges and invoicing in collaboration with the fiscal department
  • Coordinate monthly gift reconciliation and prepare monthly financial reports
  • Assist with training staff on proper data entry, records maintenance, and simple report output
  • Generate financial reports and listings upon request in various export formats for program directors, events staff, and fiscal
  • Conduct large-scale imports of new records and current donor information
  • Document guidelines for appropriate database usage, data maintenance, and key report processing
  • Improve database structure and report processing, introducing changes as needed, data entry and output, and code development to track metrics
  • Maintain major donor files for external audits
  • Co-manage registration and cash-out at agency events
  • Draft personalized correspondence as necessary
  • Processing and prioritizing research requests
  • Use coding system to track research (mini-bios, external mini-bios, links to articles)
  • Finding public record of giving to other organizations
  • Wealth Screenings – to be done as one-offs or in batches
  • Profiles done for Sr. VP or Sr. Development Officers before meetings – requires using sources: LinkedIn, Bloomberg, Facebook, Raiser's Edge record and Donor Search
  • Biographical Data Corroboration – birthdates, current employment, past employment, education history, relationships, hobbies

Educational/Experience Requirements:

  • Bachelor's degree required
  • 3-5 years previous administrative work and/or development experience required
  • Experience with relational donor database systems and knowledge of Raiser's Edge, Donor Search or Research Point a plus
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Power Point) and Adobe Acrobat
  • Experience with data queries, report writing tools, and list enhancement techniques
  • Excellent interpersonal, communications and writing skills
  • Careful attention to detail and proven ability to meet deadlines
  • Impeccable judgment and strong decision-making skills
  • Keen problem-solving skills
