ABOUT THE ROLE
The Administrative Assistant coordinates the FIRST Steps Together Training and Technical Assistant Team and provides overall administrative and logistical support for our dedicated staff. FIRST Steps Together is a home visiting program that provides peer recovery, parenting support and care coordination for families with children 5 or younger, impacted by substance use.
Your workday will include:

Creating tools and resources and documenting project activities to support staff providing services to families across the state

Provide operational and logistical support for all project meetings and trainings (in-person and virtual), including but not limited to scheduling meetings and proactively addressing schedule conflicts, note taking, and follow up communications

Organizing event logistics, including food, travel arrangements, ordering supplies and equipment, printing, and other preparatory tasks

Acting as "producer" for virtual meetings, which includes opening the meeting room, helping participants troubleshoot technical problems, tracking attendance, managing polls, breakout rooms and other Zoom functions, and editing, and disseminating recorded meetings and other virtual material

Supporting communications for statewide program, including managing newsletter, weekly updates, editing and proofreading training materials and documents, and helping to produce finalized materials

Participating as a member of the project team in program team meetings, division staff meetings and other groups

ABOUT YOU

Requirements include:

Relevant administrative experience
-
Access to a reliable means of transportation and willing to travel within Massachusetts
-
Lived experience and/or content knowledge or direct service experience in recovery or family support
-
Familiarity with Microsoft Office suite (Outlook, Word, Excel, PowerPoint), as well as general comfort with computers and media-related tools
